We built a free offer letter tool. Here's why, and how to use it.

We built a free offer letter tool - send candidates a beautifully designed breakdown of their whole package, salary, equity and benefits included, in about two minutes, no account needed.

Most offer letters are ugly. I say that with love, because I've sent plenty of them. A candidate you've spent weeks getting excited about finally gets the offer - the moment the whole process has been building towards - and it lands as a plain PDF or a few lines in an email. Salary, a start date, maybe a line about pension contributions if they're lucky. All the things that actually make the package good are either missing or buried.

That always felt like a wasted moment to me. Inspired by Kota's recently-released Total Reward experience, I built something to fix it.

What is it?

It's a free offer letter tool. You put in the details of the offer - salary, equity, benefits - and it generates a clean, beautifully designed offer you can share with a candidate through a single link. No account, no setup, no cost. It takes about two minutes.

It's built on the same design thinking behind Kota's Total Rewards statements, which show employees the full value of what they're getting rather than just a salary number. It turns out that idea works just as well before someone joins as it does after.

Why we built it

Honestly? It started as a bit of a side project. We kept talking internally about how the offer stage is where you can lose great people, and how little care usually goes into that final document. Companies pour effort into interviews and then send the offer itself as an afterthought.

The thing is, an offer is a pitch. It's the last impression a candidate has before they decide. If it looks considered and shows the real value on the table - not just base salary, but equity, pension, health cover, everything - that lands very differently than a bare number. I wanted something that made every company able to send an offer that looked like the opportunity it actually was.

So we built it, used it internally, realised it was genuinely useful, and decided to put it out for free. If you don't use Kota, you can still use this.

How to use it

It's deliberately simple:

  1. Go to offer.kota.io.
  2. Add your company logo (or skip it - your company name fills in automatically).
  3. Enter the offer details: salary, equity, and any benefits you want to include.
  4. Use the hide/reveal toggle if you want to control when the candidate sees the total figure.
  5. Generate the link and send it to your candidate.

That's it. Every offer gets its own link, so you can send as many as you like.

It's free, and there's no account creation required. Any data you put in is safe.

A small note

This is a first version, and we built it fast. It does one thing - makes a great-looking offer - and it does it well. It won't manage your whole hiring pipeline, and every figure is an estimate until it's in a signed contract. But if you've got a candidate you want to impress, it's the easiest way I know to do it.
